HomeSmart ICARE Realty is now hiring for an Assistant Transaction Coordinator position.


Responsibilities

Job Duties include (but are not limited to) assisting Transaction Coordinator with:


  • Obtain all necessary signatures on listing agreement, disclosures and other necessary documentation.
  • Submit all necessary documentation to office broker for file compliance.
  • Input all necessary information into client database and transaction management systems.
  • Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing.
  • Coordinate title/escrow, mortgage loan and appraisal processes.
  • Coordinate inspections, assist in negotiations regarding repairs, and coordinate completion of repairs.
  • Regularly update and maintain communication with clients, agents, title officer, lender etc.
  • Submit all necessary documentation to office broker for file compliance.
  • Coordinate moving/possession schedules.
  • Schedule and coordinate closing process.
  • Input all client information into client database system.
  • Verify that all required signatures and initials are on the contract and addenda.
  • Verify that all required addenda are included with the contract.
  • Fill out commission disbursement forms.
  • Open file with the escrow or title company.
  • Open and update the title search.
  • Send copies of the contract to the other agent, buyer, seller, and lender (as directed by agent).
  • Create a Web-based transaction management file to monitor the transaction.
  • Upload documents.
  • Send deadline reminders as needed throughout the transaction.
  • Follow up with the escrow company, lender, and other agents as needed. Keep agent informed of those communications.
  • Send a weekly e-mail summarizing the status of the transaction and advising the agent of upcoming deadlines.
  • Ensure that all paperwork is provided to all parties.
  • Request an estimated HUD-1 statement for agent to review.
  • Greet visitors and agents coming into the office
  • Answer phones.
  • Timeline management.

Qualifications

Job Requirements:

  • Professional attire and appearance.
  • Professional speaking voice and excellent grammar.
  • High School Diploma or higher education preferred.
  • 2 years administrative experience required.
  • Prior Real Estate industry experience preferred.
  • Technologically proficient in all areas including but not limited to: familiarity with various operating systems on PCs and Macs and ability to navigate computer software and hardware.
  • Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher, and Adobe programs such as Adobe Acrobat.
  • Creative problem solving skills.
  • Ability to communicate with different audiences to convey message successfully and to change gear quickly to support different customers.
  • Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.
  • Outstanding organizational and file management skills; emphasis on attention to detail.
  • Customer-focused, delivery-oriented, ability to work in a team environment.

Compensation
$12.00/hour
