We're hiring an organized administrative assistant to provide extraordinary customer service. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient, buying materials for the office as needed, and planning travel arrangements and appointments for employees. You’ll also support the team by marketing the company and planning company events. Candidates should be great communicators who are driven and have great time management skills. Responsibilities
  • Plan office events and schedule arrangements for travel if necessary
  • Utilize the website, social media, and printed materials to raise our visibility in the community
  • Produce progress reports and present to the team on a regular basis
  • Order office equipment and supplies as needed
  • Connect with our customer base and raise brand visibility by coordinating community events

  • Prioritize income-generating tasks before beginning routine paperwork to ensure income for both agent and assistant.
  • Build, implement and manage all systems for clients, lead generation, database management, and back office support
  • Assisting in scheduling and booking meetings
  • Coordinate marketing events and client activities
  • Oversee all listing files and listing marketing (brochures, flyers, online marketing, etc.)
  • Participate in team-provided training sessions
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Manage contract to close process
  • Create and maintain an operations manual that documents all systems and standards
  • Create, maintain and utilize a complete lead follow-up system
  • Keep agent informed about challenges and issues that need to be handled
  • Work with all preferred vendors, including professional photographers, contractors, etc.
  • Enter critical dates for property sales on shared Calendar
  • Shall send out weekly reminders of upcoming critical dates via email
  • Work with the title company as a secondary liaison on any necessary information/documentation to help get the property to a successful closing
  • Assisting in listing prep and scheduling
  • Continue to take day-to-day office tasks away from agent, organizing workflow and reducing inefficiencies
  • Coordinate & Book Travel for team owners
  • Run Personal Errands
  • Data and receipt entry

Qualifications
  • High school diploma or GED required
  • Display excellent written, problem-solving, and verbal communication skills
  • Prior experience in office management or our industry is a plus
  • Proficient in basic computer software and can quickly learn to use new programs
  • History of being deadline-driven and extremely organized
Compensation
$13 hourly
