We're hiring an organized administrative assistant to provide extraordinary customer service. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient, buying materials for the office as needed, and planning travel arrangements and appointments for employees. You’ll also support the team by marketing the company and planning company events. Candidates should be great communicators who are driven and have great time management skills.   • Scheduling appointments
  • Incoming/outgoing calls
  • Writing emails, texts, correspondence
  • Juggle multiple provider’s schedules
  • Managing the waitlist and filling cancellations
  • Navigate Electronic Medical Records system (JaneApp)
  • Taking payments and filing transactions
  • Updating insurance information and keeping track of benefits
  • Ordering herb prescriptions as directed by provider 
  • Updating the operations manual 
  • Marketing services and building patient base
  • Keeping track of insurance charges and payments
  • Purchasing office supplies and equipment

  • Associate's degree preferred but not required to apply

  • 1 year of working front desk, at a health clinic, or in customer service required
  • 1 year of Electronic Medical Records preferred 
  • Basic computer skills including gmail, google docs and Microsoft word 
  • Excellent soft skills and ability to communicate with kindness

$42,000 - $45,500 yearly
About Stepping into Wellness

We are a growing wellness center currently offering Acupuncture, Orthopedic Acupuncture, Herbal Consultations, and Wellness Counseling. We will be moving to a new larger location and are looking to expand our team! At Stepping into Wellness, we believe that integrative care is essential. Our team is very kind, fun, and easy to get along with. We are looking for someone who steps up to get the job done when they see paperwork unfiled, bins that need restocking, or a patient with a question. You need not have prior experience in all the below duties but come with a willingness to learn new skills as we move to our new location. We are looking for someone who has humility, good communication skills, and an interest in a collaborative work environment.
