We are seeking an Administrative Assistant who is passionate about helping us reach our objectives and supporting the team.

The ideal candidate will have experience in administration in handling phones, computer data entry and handling mail. The natural ability to organize and prioritize daily tasks with minimal direction is critical in this position. Excellent communication and client service skills are a must.

We are seeking an Administrative Assistant to join our team! The top candidate will be willing to go above and beyond their duties and is excited about the opportunity for growth and expansion.

  • Keep team members informed about challenges and issues that need to be handled to ensure open lines of communication on the team
  • Facilitate communication between our customers and team to ensure customer satisfaction
  • Help organize community outreach events to improve our standing in the local area
  • Create and dispense status reports as requested so the team is informed with progress reports
  • Continually improve skills via training and online research

  • Handle all incoming calls and direct calls or take action as directed
  • Ensure entry of all calls and leads in tracking spreadsheets and contact management system
  • Check the lead summary daily to ensure ISA's enter proper follow up plan
  • Enter proper lead source down and label every lead with labels in Contact Management System
  • Participate in company-provided training sessions
  • Compile and distribute daily/weekly/monthly priorities and reports to Team Leader
  • Keep Team Leader and Office Manager informed about challenges and issues that need to be handled
  • Monitor shared Google Calendar and make appointment recommendations based criteria provided
  • Continue to take day to day office tasks away from agent, organizing workflow and reducing inefficiencies

  • This position requires some evening and weekend work
  • Ability to assess, prioritize and act quickly and with discretion
  • Customer service experience in our industry is preferred
  • Work efficiently and in a timely manner on a variety of tasks with minimal supervision
  • Must be organized, proficient and on-time

  • Technologically savvy and able to learn new programs quickly and able to troubleshoot common issues
  • Proficiency in Word, Excel, Power Point, Web Based computer systems and Internet skills
  • Have excellent attention to detail and high-level accuracy with documents
  • Flexible in daily routine; ability to prioritize and manage shifting responsibilities
  • Excellent verbal and written communication skills
  • Proficient in time management
  • Dedicated to the success of the Team

$17 - $25 hourly
