A top-producing Keller Williams team is in search of a transaction coordinator to join their real estate team. This position requires a highly detail-oriented and systematic individual that helps a team service clients with seamless, top-notch customer service from contract-to-close.

Creative problem solving, exemplary customer service, strong communication skills, and attention to detail are necessary. The right candidate will relish the opportunity to build, implement, and manage multiple systems with minimal supervision. Deep commitment to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication is a must.

In this role, you will manage all administrative aspects of the transaction from contract to close, including providing assistance with escrow-related documentation, scheduling inspections, and repairs, and acquiring seller approval for offers and counteroffers.


  • Salary: $45,000 - $55,000
  • Bonus potential
  • Paid time off


  • Support sales agents, clients, and other parties with escrow-related paperwork, such as appraisals, titles, and mortgage loans
  • Input client information into the client database system, track transaction activities and submit each necessary document to the office broker for file compliance
  • Arrange for and attend events regarding the closing process, including moving schedules
  • Coordinate home inspections negotiate prices for necessary repairs and make sure each repair is completed
  • Oversee all administrative tasks regarding home buyer and seller transactions from executed purchase agreement to close
  • Track and send out lockboxes, signs, and other marketing materials for the entirety of the process
  • Manage and respond to client emails; answering inquiries and assisting in a timely manner; rely on information as needed to team members and agents
  • Handle all back-end paperwork; responsible for obtaining necessary information/documentation and submitting to appropriate parties to meet deadlines
  • Closeout files and put on all follow up campaigns for future communications
  • Communicate with team and agent throughout the process to prevent any issues or problems from arising throughout the transaction
  • Support agents in the organization throughout the process to keep the transaction running smoothly
  • Maintain, update, and organize database


  • Must have excellent organizational skills and communication skills
  • Background or knowledge of the real estate industry, transaction coordination, titles, and mortgages preferred; real estate license is a plus
  • Motivated to serve people and provide excellent customer service
  • Detail-oriented, organized, and have high attention to detail
