Calling all people pleasers, perfectionists, and silent heroes. We’re seeking a talented Administrative Assistant / Transaction Manager who will go above and beyond for our clients every day. Especially the difficult ones. We live and breathe client experience and pride ourselves on sweating the details. We are looking for an Administrative Assistant / Transaction Manager to handle paperwork and be the glue that holds this team together. Checklists, systems, and processes make you happy. Your ability to follow-up and follow-through, even when you are busy, is what sets you apart from other admins.

The position:

The Administrative Assistant / Transaction Manager is responsible for providing a concierge-level of service to clients, handling client files and supporting with the team. This is a hands-on, process-oriented, dynamic position where the details matter.

The Details:  

Salary: $40,000 plus up to $8,000 in bonus potential

Benefits: Paid vacation, sick days and holidays, health insurance, eligible for 401k after one year of service

Hours: Full-time, 40+ hrs, 9 a.m. - 5:30 p.m., M-F, some communication on weekends if needed.

Location: Park City, UT

Responsibilities

  • Maintain all files and manage the MLS listing process: write descriptions, input listings, update files
  • Coordinate and liaise between real estate agents, buyers, sellers, escrow, appraisers, inspectors, and mortgage brokers on real estate transactions from Contract through Closing
  • Assist the team with administrative assistance which may include some personal assistant duties and running errands when needed - you’re the type of person who would never say “That’s not my job…”
  • Ensure all transaction documents are in compliance with Real Estate Laws (e.g. all required disclosures secured, executed and initialed correctly); training on this will be provided if necessary
  • Coordinate and follow-up with the production, coordination, and processing of all documents related to real estate transactions to ensure all deadlines are met
  • Bookkeeping and tracking; making sure every “i” is dotted and every “t” is crossed
  • Keep everything updated in DotLoop while coordinating with the Title company throughout process
  • Manage and maintain checklists in Top Producer (you love checklists!)
  • Support and assist the team's Director of Client Relations as well as some personal errands for the team 

Qualifications

The ideal candidate:

A self-motivated, dedicated professional with strong interpersonal and organizational skills. You are detail-oriented and excel in a fast-paced environment. You are not interested in using this as a stepping stone into Sales. You love administrative tasks and enjoy being the backbone of an organization.

  • A doer who thrives in a fast-paced environment and handles multiple responsibilities, sees each and every transaction through from beginning to end and makes it all look easy. 
  • A systems-oriented person who can follow the same process, the same way, every single time.
  • Quick-learner; you are able to grasp the Real Estate process in a short period of time.

Your past experience includes:

  • 2+ years of recent experience as an administrative assistant 
  • Real estate experience highly preferred but not required (mortgage, loan processing or title experience a plus); Knowledge of real estate escrow a plus 
  • Solid clerical or administrative background with above-average computer skills
  • Licensed agent/notary a plus; willingness to obtain a real estate license is required

Ideally, you are familiar with or can easily master… 

  • Dropbox
  • CRM programs
  • MS Office (Word, Outlook, Excel)
  • MLS 

Knowledge of the following is a PLUS but not required:

  • Docusign
  • Dotloop
  • Top Producer

Candidate MUST live within a 40-minute commute of Park City, UT and MUST have their own car, a valid driver’s license, and carry insurance.
