We're hiring an experienced organized administrative assistant to provide extraordinary customer service who is deeply committed to supporting the executive agent to greater levels of success, completing tasks the right way, timely with a high degree of quality. This person has immense focus and can do one thing for a long time without getting distracted are persistent and are the stable force in keeping the office, lead and agent management, documentation, and transactions inflow.

Previous real estate office management experience is critical, must have an active Arizona real estate license, have experience in Client Management systems(CRM), word, excel, email systems, Canva, direct client interaction, and willingness to learn new systems.  Be available to support the executive agent with inspections, walkthroughs, etc as well as transaction management for both buyers and sellers. Research and manage local marketing efforts and provide backup support for Executive agents rentals


  • Oversee all contracts through closing in coordination with designated agents as appointed by an executive agent
  • Transaction Management of all of the Executive agent's contracts
  • Manage sign inventory and installation orders, lockboxes, marketing, brochures, email flyers for listings
  • Organize open houses includes lining up agents, sign permits, marketing materials, post dates on the MLS and other online systems such as Zillow,, etc and social media and Ylopo tools
  • Open homes for out of area agents, drop-in clients when the executive agent is not available
  • Submit weekly numbers to the executive agent on referral agents contracts
  • Keep the executive agents informed regarding any problems or issues that need to be handled
  • Update management of tracking growing agent referral system and monitor weekly
  • Professional level Client contact and lead management
  • Oversee Executive agents Airbnb reservations and renters contact
  • Stay on top of industry marketing and lead generation options, and implement systems determined to be viable.
  • Learn the existing follow-up processes and social media tasks as a backup to current staff
  • Miscellaneous personal items for the executive agent.
  • Grow in the position through continued learning and revitalization of skillsets in related duties
  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility
  • Help build online marketing, brochures, email campaigns, etc. that highlight our services

  • Navigates computer programs with ease to provide a quick front-desk experience for customers
  • Shows great interpersonal skills and excellent written communication
  • Proven track record of completing projects on time in an orderly manner

  • Active Real Estate license and experience
