We are hiring an organized administrative assistant to provide extraordinary customer care. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient. You’ll also support the team by marketing the company and planning company events. Candidates should be great communicators who are driven and have great time management skills. Goals

  • To help the agent increase business and profitability by managing/performing tasks that can be delegated.
  • To assist the agent in developing clients for life
  • To monitor progress against goals

Responsibilities:

  • Implement/Create Systems for office operations
  • Handle administrative duties for buyers and sellers
  • CMAs for Buyers and Sellers whenever needed (including weekend)
  • Return all phone calls in a timely manner
  • Handle all incoming emails
  • Follow up letters / emails to clients
  • Monitor weekly, monthly and yearly goals
  • Responsible for all correspondence
  • Assign/follow up on leads
  • Create a Raving Reviews System
  • Ask sphere of influence for referrals for the agent
  • Updating Database (Master Command/LionDesk) with all info (5) and have everyone on drip/touches DTD2
  • Set up Drip campaign
  • Create marketing templates and post across social media (listings, announcments)
  • Monitor Social media campaigns - LinkedIn, Insta, FB and send auto responses (lead gen)
  • Organize Community Events (create annual schedule)
  • Support Team Vision and Values and goals at all times
  • Encourage and hold accountable team members
  • Creating agenda and leading weekly meetings
  • Create job descriptions and post for new positions, help hire and train
  • Research New Marketing Opportunities and ROI
  • Review against P&L
  • Protect profit at all times
  • Review Annual/Monthly/Weekly Goals (4-1-1) with entire team (vendors included)
  • Promote a culture of self- learning, have a growth mindset, leadership and ownership of your role
  • Desire to obtain real estate licensing
  • All other duties as assigned or required

Responsibilities
  • Generate status reports as requested so the team is informed with progress reports
  • Grow in the position through continued learning and revitalization of skillsets in related duties
  • Oversee online and print marketing efforts
  • Increase productivity by creating record-keeping procedures for customer data filing systems
  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Plan office events and schedule arrangements for travel if necessary
  • Plan community events to market the company and increase brand awareness
Qualifications
  • Proven track record of completing projects on time in an orderly manner
  • High school diploma or GED required, some college experience preferred
  • Enjoys talking with customers and can communicate through verbal and written channels
  • Prior experience in office management or our industry is a plus
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues

  • Desire to earn a real estate license

Compensation
$15 - $18 hourly
