We’re looking for a professional, friendly administrative assistant. Your primary job will be to serve as the first point of contact with all clients, providing excellent customer service. Additional administrative duties include increasing productivity by creating and following office protocols, scheduling important appointments and/or travel arrangements, purchasing office supplies as needed, and assisting in marketing our brand online and at events. Hourly rate to Salary after 90 day

Mon-Fri 9 am-5 am

  • Strengthen existing abilities and gain new ones by participating in training opportunities
  • Connect with our customer base and raise brand visibility by coordinating community events
  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Help build online marketing, brochures, email campaigns, etc. that highlight our services
  • Inform team members regularly about the status of projects and any setbacks or achievements
  • Increase productivity by creating record-keeping procedures for customer data filing systems
  • Plan office events and schedule arrangements for travel if necessary
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Follow up with past clients (calling or letters)
  • Follow up with current clients
  • Pick up closing packages
  • Dot loop maintenance
  • Organizing photos for listings
  • Order sign install and removals
  • Prep listing / selling packages
  • Contract to close, communicate with buying/selling agents
  • Utility transfer confirmations on houses sold
  • Drop off paperwork to city(s) building dept. as needed
  • Social media
  • Update future web site
  • Update contacts in KW Connect
  • Update KW website w/ IDX listings
  • Mail and fill out client cards (xmas, 4th July, etc.)
  • Inform me of my schedule
  • Answer calls and set appointments for me when I cannot handle
  • Prep listing pkg. for clients
  • Mail out introduction books pre-listing
  • Schedule contractors to confirm appointments
  • Forward plans and prints to potential buyers
  • Communicate with agents who do not respond on feedback
  • Conforming transferring utilities with seller/buyer
  • Shows ability to quickly finish very detailed work
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • Display excellent written, problem-solving, and verbal communication skills
  • Associate’s degree preferred but not required to apply
  • Customer service experience in our industry is preferred
