We are looking for a dynamo Administrative Assistant to support our CEO and team in Denver, Colorado. This position is mostly remote with occasional in-person meetings or events. The primary duties of the Administrative Assistant include a combination of administrative, marketing, communications, and operations tasks. Our ideal “Jane/Jack of all trades” will support us in a wide variety of day-to-day projects, programs, and processes to support our rapidly growing business.

This is a part-time job with 15-20 hours per week.

Responsibilities

  • Work with leadership team to create and implement processes
  • Provide customer service to current members and onboard new members
  • Provide friendly and timely customer service to current members
  • Provide administrative support for remote and in-person events 
  • Monitor and process general company email inbox and CEO inbox
  • Manage company and CEO calendars and handle scheduling 
  • Send promotional emails, newsletters, and other communications through Mission Suite
  • Update and/or maintain platforms such as Zapier, Asana, PowerPoint, Calendly and Zoom
  • Manage simple projects within Asana and Mission Suite (set up projects, define tasks, followup on execution)
  • Track customer and prospect info in Mission Suite CRM
  • Perform basic updates to PowerPoint presentations
  • Perform basic WordPress website updates
  • Organize data and integrate into Excel or Google spreadsheets
  • Perform basic graphic updates in Canva
  • Create, send and follow up on invoices using Quickbooks Online
  • Provide billing support to customers and handle payment collections for past due/declined payments
  • Post pre-written social media content on Facebook, LinkedIn and Instagram
  • Conduct online research on various topics
  • Perform a range of administrative tasks such as data entry, ordering supplies, etc.

Qualifications

  • Very high attention to detail -- please don't apply if this isn't something you enjoy and feel that you do very well; it will be the largest part of your job and the most important skill you bring to the team
  • Proven track record of completing projects on time in an orderly manner
  • Accurate, timely task management: Do it once, build a system, follow that system OR, follow systems that are currently in place
  • High degree of organization and enjoyment in creating order from chaos
  • Ability to prioritize tasks based on urgency or immediacy
  • At least 1-year experience as an assistant
  • Highly resourceful and natural problem-solver, solving problems for self and others with minimal input/supervision
  • Excellent written communication skills and grammar, articulate speaking skills
  • Must be an articulate communicator on the phone or video conference 
  • Tech-savvy: Quick to learn new technology and support other team members with solutions to technological/software problems 
  • Ability to perform online research and determine appropriate solutions to technological problems
  • Required Working Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel), Google Suite, WordPress, Facebook, Linkedin, Zoom Video Conferencing
  • Experience using various Project Management and CRM software tools (Mission Suite and Asana a bonus, but not required)
  • Experience using Canva graphics platform, Calendly scheduling software, Zapier automation tool and Quickbooks Online a plus but not required
  • High school diploma or GED required

Compensation
$16 - $18 hourly
