The Administrative Assistant is an integral part of our team who is outgoing, highly organized, draws energy from working with people, steady, and is optimistic. They have a strong sense of urgency but not at the expense of quality. In addition, he/she demonstrates on a daily basis the knowledge, attitudes, skills and habits of a high achiever who is committed to putting clients first, doing the right thing, and seeking win-win agreements. They must be adaptable to change and be solutions-oriented. They oversee the entire contract-to-close process efficiently and effectively to ensure all transactions close on time, with little or no hassle to clients and third parties. This individual must provide exceptional customer service. They have the ability to manage all marketing content for the team's transactions. Whether it be marketing new listings, client accepted offers or closings, and manages scheduling the content and interacting with prospective customers online. They are innovative and look for other opportunities to increase brand awareness as well as identifying the success of utilized marketing tactics in generating leads and maximize brand exposure.

Responsibilities

  • Provide exceptional customer service throughout the entire closing process
  • Act as a liaison between real estate agents, clients, title companies, and mortgage brokers during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale
  • Create timelines and follow up with individuals as needed to ensure all deadlines and contingencies are met, schedule required contingencies as needed
  • Monitor that updated client information is in our databases
  • Understand the contracts in order to summarize all important terms, conditions, and contingency dates
  • Reviews all transaction documents for compliance
  • Communicate with the agent frequently throughout the transaction, re: including, dates, any missing documents, calendar reminders, file compliance status, etc.
  • Managing teams transaction email and prioritizing responses in a timely manner
  • Establish relationships with all third parties including lenders, inspectors, title companies, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
  • Be a point of contact for questions that arise throughout the closing process
  • Social Media marketing management on multiple platforms: Facebook, Instagram, TikTok, etc.
  • Research and create content for social media accounts
  • Communicate with customers online by engaging in conversation
  • Build templates and schedule posts relevant to each agent's transactions
  • Use proper grammar and pay attention to detail
  • Successfully close out files and practice proper filing procedures of each file
  • Assist in team projects
  • Assist team with ideas and preparations for client events


Qualifications
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • Enjoys talking with customers and can communicate through verbal and written channels
  • High school diploma or GED required

  • Ability to meet deadlines, prioritize and communicate potential issues that could conflict with deadlines

Compensation
$15 - $18 hourly
