Signature Properties of New England (Danielson Office) is seeking an experienced Administrative Assistant/Operations Coordinator to provide exceptional support in our Danielson office. Responsibilities include: Real Estate Transaction Management and systems input, providing technical support for company initiatives, implementation of “best practices” for procedures, systems and processes, confidentiality, assist with the ordering and maintaining company marketing materials, presentation support for sales and staff meetings, special events support, office communications, and coordination of office vendors, maintain a welcoming and clean work environment. Providing exceptional service to internal customers including the sales staff, management team and onboarding of new agents.

Play a critical role in local training efforts, and the seamless coordination of marketing requests for our sales associates and Compliance Officer for Company Branding, Social Media and Marketing Standards.

  • Respond to customer needs with urgency and attentiveness
  • Monitor deadlines and provide notices to appropriate parties when necessary

  • Basic understanding of accounting/banking
  • Manage Escrow, Commissions, On Boarding, and Reimbursements
  • Be fully knowledgeable in Real Estate software programs such as Zipforms/Dotloop/Authentisign/MLS on the Administrative and Agent level to provide assistance to the agent and manage compliance in our software
  • Be fully knowledgeable in MLS and Real Estate back office platforms; review and manage all transactions in such and maintain all listing/sales files
  • Responsible for closing out all deals and ensuring that agents get paid their correct commissions
  • Compliance Officer for Documentation, Company Branding, Social Media and Marketing Standards
  • Provide support to sales associates on how to effectively promote their brand across accounts
  • Familiarity with Customer Relationship Management (CRM) technology tools
  • Network with Real Estate Sales Representatives to create positive relationships with the company
  • Responsible for recruiting and developing the real estate agents in a positive culture

  • Previous experience in the real estate industry
  • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
  • Communicates well, both verbally and written
  • Weekend and evening availability

  • Knowledge of real estate laws, contracts and procedures
  • Proven management success, including recruiting, training and inspiring agents
  • Strong computer software skills required - Microsoft Office: Word, Excel, Power Point, advanced Publisher, and preferably Adobe InDesign (Additional creative suite application experience a plus but not required)
  • Customer service oriented
  • Excellent written and communication skills
  • Prior real estate experience preferred
  • Knowledge of real estate laws, contracts and procedures
  • Attention to detail, extremely organized and ability to multitask and prioritize multiple projects and manage deadlines are desired qualities of applicant

$30,000 plus bonuses
